A reminder about the Preplan Committee meeting should go out a few days before the meeting. You can reach all members of the PCSAR preplan committee by sending a single e-mail to the the PCSAR preplan mailing list.
The typical announcement goes like:
Hi All, Just a reminder that our preplan committee meeting is coming up this Tuesday, 19:00-21:00 at the fire hall. Please let me know if you can/can't come.
If no one acknowledges and the reminder went out early enough (a couple of days ahead), I cancel the meeting and don't show up. There's no need to announce the cancellation, because no one said they were planning to come. If only one person acknowledges, I go ahead with the meeting.
