    • try to include the out-going or a previous Administrator
  • (1 week) agree as a committee what we are looking for; prepare job ad.
  • (1 week) place ad in paper(s); distribute to our members; forward to prospective candidates.
  • (1 week) for responses -- deadline for applications
  • (3 day) for committee to review applications; select short list for interviews
  • (1 week) for interviews as can be scheduled; after last interview committee decides on recommendation
  • (1 week) special board meeting to approve contract offer to candidate
    • (perhaps we can do this via e-mail if the rest of the board is comfortable).
  • New administrator starts with help of out-going Administrator.

Administrator

Enabling the volunteers of our community, the Pincher Creek Search and Rescue Society, is seeking an Administrator'. This part-time contract averages 40 to 50 hours per month.

Set your own hours, working mostly from your own home office; you must be available for our regular evening meetings the first Tuesday of each month starting at 5pm (17:00).

DESCRIPTION: Reporting to the Pincher Creek Search and Rescue Society Board of Directors, the Administrator shall be responsible for the following:

  • Preparing Meeting Agenda & Minutes for the Board Meeting, and general meetings as required
  • Preparing financial statements & issue cheque payments as approved
  • Complete Year-End Fiscal requirements and file with applicable government agencies, and to the PCSAR Board
  • Work with the Training Committee to ensure grant application and reporting deadlines are being met
  • Work with the Membership Committee to maintain membership database
  • Account for and document all expenses relating to Searches including billing, issuing reimbursements and any other financial related issues as required
  • Check fo correspondence (mail) and distribute/share with Board Members, and/or file as needed
  • Maintain a current filing system for all PCSAR related matters
  • Any other duties as required by the Board

Assets:

  • Experience in Quickbooks
  • Comfortable learning new computer skills
  • Understanding of Non-Profit Organizations
  • Background in applying for and reporting government grants
  • Experience in the preparation and record of Board meeting agenda and minutes

I remember the search committee in 2014 said they didn't state how many hours per month the position was, and that meant people only applied that were looking for a full-time position.

I think we should drop "Simply Accounting" as we've been using Quick Books the last few year.

I think we should beef up the computer skills to something like "comfortable learning new computer skills" given the reliance on the wiki and phone.com.
