Here's a template email for following up to inquiries about joining.

Template

(section of personalized greeting)

It was nice talking with you this evening. Your skills and experience would definitely benefit Pincher SAR. I encourage you to put in a membership application.

...

Please review the introductory information at:

http://pcsar.webhop.org/mediawiki/index.php/New_Member_Information

And then fill out the personnel record form (attached). Email it back to us, or bring it out to one of our events.

We'll also need your criminal record check. If you have one that has been done within the last year, we can use that. Otherwise you can use the attached letter to get a new one free at the local RCMP detachment. If you prefer, we can give you a printed copy at one of our regular meetings.

...

Edit down:

Search and Rescue wants to get better at reaching out to recruits like you. Please help us by providing a little information about what brought you here.

Your name?

How did you hear about the volunteer search and rescue that happens around Pincher Creek?

How did you figure out how to contact us?

What motivates you to want to join?

[Administrator, please forward this completed information to the Membership Committee.]

...

We'll add you to our announcements list so you'll hear about our events in advance of your membership application being processed. Many of our activities are open to non-members.

We'd like to see you before processing your application, so do try to make it out to one of upcoming events. Our regular meeting and training is the first Tuesday of every month at 19:00 (7pm) at the Pincher Creek Fire Hall.

If you have any questions or need any help, give me a call or email me.

Take Care,

--
